Exhibits Chair

Required to be onsite prior to the conference, during exhibit hall set up hours, to help exhibitors with problems that arise. Should be onsite during the conference for problems, too.

Duties:

  1. Establish a deadline for Exhibitors to apply.
  2. Process application to exhibit and/or advertise and/or inclusion of flyers for registration packets.
  3. Collect payment for exhibits, ads and flyers. Forward to CIT Treasurer with explanations of what the payment is for (sponsor or exhibitor)
  4. Collect any A/V requests.
  5. Have all exhibitors either send their packages to the Hotel or bring items with them.
  6. Assign exhibitors booths.
  7. Have electricity access for all vendors.
  8. Communicate with exhibitors whether or not they have wall space. Many use the walls for hanging banners. This must be approved by Hotel staff.
  9. Coordinate information with the Program Book, Fundraising and Registration Chairs.
  10. Be in communication with the site manager of the hotel and be familiar with the layout of the exhibit space to choose/approve the space used for exhibitors.
  11. Submit a final report at the end of the conference.
